Administrative Assistant - Property Management

Schedule: Monday-Friday, 8:00 AM - 5:00 PM

Pay: $22.00 - $25.00 per hour (DOE)

Job Summary

We are seeking a detail-oriented and highly organized Administrative Assistant to support daily operations within our property management team. This role is ideal for someone who thrives in a fast-paced environment and enjoys handling a variety of administrative tasks while providing excellent service to homeowners, vendors, and internal staff.

Key Responsibilities

  • Provide administrative support to property managers and leadership team
  • Process and track architectural requests in accordance with community guidelines
  • Maintain and manage insurance records for properties and vendors
  • Prepare, design, and distribute community newsletters and communications
  • Answer phones, respond to emails, and assist homeowners with inquiries
  • Maintain organized digital and physical filing systems
  • Coordinate with vendors, contractors, and residents as needed
  • Assist with scheduling meetings, preparing agendas, and documenting minutes
  • Support compliance tracking and documentation for HOA/association requirements
  • Perform general office duties including data entry, document preparation, and record keeping

Qualifications

  • 2+ years of administrative experience (property management experience preferred)
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to handle confidential information with professionalism
  • Detail-oriented with strong problem-solving skills
  • Ability to work independently and manage deadlines

Preferred Skills

  • Experience in HOA or property management environments
  • Familiarity with architectural review processes
  • Newsletter creation or basic design experience (e.g., Canva or similar tools)
